About the role
Intact is building a structured catalogue for its corporate art collection. This mandate focuses on creating a complete, consistent, and operational inventory, with a centralized repository on SharePoint. The role is on-site in our Montréal or Toronto buildings (depending on your location ), with occasional local travel as required.
Key Responsibilities
- Create and maintain standardized artwork records in the selected tool (Excel preferred, or museum collections software if available/approved).
- Assign and manage a unique inventory ID for each artwork to ensure traceability and consistency.
- Upload, organize, and maintain records and photos in SharePoint (folder structure, naming conventions, basic document control).
- Document essential information for each artwork: ID, title, artist, year (if known), dimensions, medium (if known), and location/placement (site, floor, zone).
- Photograph artworks using a consistent standard (image quality, framing, lighting) and ensure file names are linked to the artwork ID.
- Handle artworks with care throughout the process: remove from walls/frames when necessary, photograph, and reinstall carefully with no alteration or damage.
- Provide high-level notes when possible (artist/artwork context, observations on framing/condition, recommendations such as reframing). Include approximate value only when reliable information is available and sources can be cited.
What were looking for:
- Recent graduate or near completion of a Museology program; experience with collections documentation/inventory is a strong asset.
- Highly detail-oriented, rigorous, and well organized, with the ability to work independently.
- Comfortable with SharePoint, file management best practices, and Excel (or quick to learn a collections system).
- Able to work on-site in Montréal or Toronto and travel locally when needed.
