Are you organized, rigorous and like to see things done right? We're looking for a Senior Administrative Agent to support our managers and teams in their day-to-day activities. This versatile role touches on several essential aspects of administrative life: data entry, orders, event coordination and expense management.

Start date: February 2nd, 2026

Location : Montreal office (2020 Blvd Robert-Bourassa)

Schedule:

  • Part-time with 21 hours weekly

  • Choose your set 3 days between Monday - Friday

  • Show flexibility for special events

  • In-office requirement is 2 days a week

What you'll accomplish with us:

  • Provide administrative support for the smooth running of the team (mail, materials including IT equipment, purchasing, reservations, etc.).

  • Support directors by organizing travel, planning and attending meetings where necessary to take notes.

  • Organize meeting invitations, reserve rooms and equipment as needed, prepare agendas and/or files for various meetings.

  • Plan, coordinate and attend events organized by Directors, including providing on-site support as required.

  • Prepare reports and create PowerPoint presentations, Word documents, and Excel spreadsheets as requested (including translation if necessary).

  • Assist in the preparation of expense reports for Directors.

  • Support payment of invoices for department(s).

  • Order office supplies and maintain inventory/materials as required.

  • Contribute to the integration of new employees (access card requests, computer access, etc.).

  • Support other executive assistants or administrative support.

  • Actively participate in special projects, initiatives and other related tasks.

What you'll get out of it:

  • Administrative Technician or equivalent combination of education and experience

  • Minimum 5 years' experience in an office environment

  • Excellent customer service and relationship building skills

  • Exemplary written and verbal communication skills

  • Highly organized and able to effectively manage workflow without continuous supervision

  • Team spirit and positive attitude

  • Ability and willingness to learn

  • Proficiency in MS Office (Word, Excel and PowerPoint)

  • No Canadian work experience required, but must have authorization to work in Canada.
