Salary for the candidate will be determined taking into consideration a number of factors including: experience, skills, qualifications, anticipated contribution to role, internal equity, etc. The salary range presented below is based on a 35-hour workweek and would represent a majority of different candidate profiles. However, we encourage candidates who may fall outside of this range to apply as well.

Salary range (but not limited to):

50,900 - 62,200

 

About the role

We are looking for a Fleet Administrator to join our growing team for a 6 months secondment. In this role, you will have a significant impact on the management of a vehicle fleet of over 1,000 vehicles, and fleet drivers will rely on you daily for guidance and support within your area of responsibility.

What you'll do here:

  • Responsible for administering the company vehicle fleet, while providing consistently high service to the end user.

  • Processes requisitions for company vehicles; administers ancillary programs; negotiates service agreements and coordinates maintenance and repairs; as well as ensure safety as per corporate policies.

  • Receives and reviews requisitions for the usage of company vehicles.

  • Liaises with internal customers to determine or clarify requirements and complete appropriate documentation.

  • Assigns vehicles as per company guidelines and approval process.

  • Provides pertaining documents (e.g. vehicles registration, insurance papers, maintenance credit cards).

  • Administers and reports on ancillary programs, such as: orders, updates and cancels vehicles maintenance credit cards; maintains the Fleet Taxable Benefits program; promote and oversee the Safety program; monitors and coordinates insurance renewals and distribution of certificates to all fleet drivers.

  • Maintains productive business relationships with service providers, leasing companies, car dealerships and repair centers.

  • Acts as a liaison to co-ordinate the maintenance and repairs of vehicles in accordance with service agreements and guarantees; negotiate quotes and approve repairs to vehicles; reconcile and process invoices; and resolve related problems or issues.

  • Using a computerized inventory system, tracks, maintains and updates the company car inventory and any other records to compile information on requisitions, pending orders, costs and suppliers.

  • Monitors maintenance schedules, vehicle usage/mileage, and lease agreements.

  • Submits recommendations for vehicles to be leased or sold.

What you bring to the table:

  • Administrative Technician (accounting profile required) or any equivalent combination of education and experience.

  • Five (5) years of experience in fleet management or other relevant experience in the automotive industry.

  • Knowledge of the Microsoft Office suite with advanced proficiency in Excel.

  • Ability to interact with senior management and availability to respond to their requests.

  • Discretion and commitment to confidentiality.

  • No Canadian work experience required however must be eligible to work in Canada

  • Bilingualism (French / English) is required considering the need to interact on a regular basis with colleagues across the country.
