We are looking for an Executive Assistant – Maternity Leave, 18 Months for our Finance department. You will play a crucial role in supporting our financial executives and act as the key point of contact in a dynamic and fast-paced environment.

What you’ll do here:

  • Scheduling and organization: Plan, coordinate, and organize calendars/meetings. Handle invitations, address and resolve scheduling conflicts, and manage catering, equipment, and other needs.

  • Administrative and office support: Manage travel arrangements and prepare expense reports. Track budgets, bill payments, purchase orders, etc.

  • Communication: Prepare, edit, and proofread various documents, reports, and presentations to ensure accuracy and compliance with company standards.

  • Onboarding new employees: Plan the arrival and departure of employees by ordering equipment and managing access requests.

  • Maintain strict confidentiality and professional discretion in managing sensitive information.

  • Offer support to teams and colleagues as needed and collaborate as part of an administrative team.

What you bring to the table:

  • College diploma in administration/secretarial studies or an equivalent combination of education and experience.

  • Minimum 3 Years of experience in a similar role.

  • Organization and time management: Strong organizational, proactive, and time management skills.

  • Adaptability: Ability to multitask and handle changing priorities.

  • Problem-solving: Addressing issues as they arise with strong resourcefulness, ability to work independently, and sound judgment.

  • Attention to detail: Rigor and accuracy in all tasks.

  • Computer proficiency: Excellent knowledge of the Office Suite (Word and PowerPoint more specifically).

  • Develop/maintain strong relationships with external and internal partners and present a professional and positive image. Exhibit an excellent team spirit and collaboration.

  • Communication skills: Excellent oral and written communication skills in French and English.

  • Bilingualism (French / English) - Need to interact on a regular basis with colleagues across the country.
